BOOKING.

Amarok Adventures ehf will provide the traveler with instructions on how to proceed with the trip booking process. To confirm a booking, the following requirements must be met:

• The traveler must fill out the online form with their personal information.
• The traveler must sign the travel agreement, which will be provided by Amarok Adventures ehf .*
• For all private and tailor-made tours, at least a 30% deposit is required at the time of booking, and full payment must be received no later than November 1st, 2024.

*If the client declines to sign the travel agreement, we interpret this as the traveler not accepting the general and specific terms and conditions of the trip. As a result, Amarok Adventures ehf will be entitled to cancel the reservation at the client’s own risk and expense.

CANCELLATION & CHANGE FEES.
Amarok Adventures ehf reserves the right to keep the below fee to cover costs in our private & tailor-made tours. If clients formally cancel their participation:

• If cancelled before confirmation of the group: 100% of the total tour price is refundable (including the deposit).

• 59+ Days before departure: 25% of the total tour price is refundable if canceled 59 days or more before departure, once the trip has been confirmed.

• 30-59 Days before departure: 10% of the total tour price is refundable if canceled 30-59 days before departure.

• 0-29 Days before departure: 0% of the total tour price is refundable if canceled 0-29 days before departure.

If changes are requested for private and tailor-made tours, such as adding nights or changing hotels or dates, a change fee may be charged. Please note that there is no fee for booking additional nights in the first city before or after a tour or package. If you provide us with enough notice, we will do our best to reschedule your booking for a future date free of charge.

A change fee may be charged if a confirmed service is changed less than two weeks prior to the client’s arrival.

A last-minute booking fee may apply to all bookings for private and tailor-made tours requested within two weeks of the client’s arrival. However, this fee does not guarantee confirmation and you will only be charged for confirmed bookings.

Since this is a private adventure, your guides will try to adapt the activities proposed to the level of the group as much as possible.

Please be aware that the adventure trip you are about to embark on requires certain abilities to fully enjoy the experience. To ensure your participation, please consider the following general criteria:

• You should have the capability to hike distances exceeding 12 kilometers (7.5 miles) for multiple consecutive days.

• You should possess the endurance to tackle elevation gains of over 700 meters (2300 feet).

• Given the Iceland harsh winter weather conditions, it is strongly advised to bring high-quality warm & waterproof mountain gear.

• Previous experience on winter sports is not required but you need to be physically capable of hiking in snowy & icy terrain.

The journey may present various challenges, both physically and mentally, and having a strong sense of determination is crucial to overcome obstacles and push through difficult moments. It is essential to maintain a positive mindset, stay motivated, and embrace the spirit of adventure.

Additionally, as the weather in Iceland can be unpredictable (even more during the winter season), it is highly recommended to bring good warm & waterproof mountain gear to stay dry and comfortable.

Upon booking the trip, you will receive detailed information regarding the essential hiking gear you’d need to bring. If the participant lacks the required equipment, the guide may limit their participation in daily activities or even the entire trip to ensure their safety.

There is no need for you to bring any additional technical mountain gear or sleeping bag.

While the guide will have a first-aid kit, each traveler is responsible for carrying any personal items they deem necessary based on their own medical conditions, requirements, risks, etc. It is crucial to communicate such information to Amarok Adventures during the trip booking process.

The weather conditions in Iceland, particularly in the Highlands region, are known for their unpredictability and rapid changes. It is essential to be prepared for a wide range of weather conditions that can occur within a single day, including strong wind gusts, hail, snowstorms and significant temperature variations.

Temperatures can range from 5ºC to – 20ºC (41ºF to -4ºF) during the trip. To fully enjoy and embrace this adventure, it is mandatory to have appropriate mountain clothing that can withstand these diverse weather elements. Equipping yourself with good-quality gear will ensure your comfort and safety throughout the journey, allowing you to fully immerse yourself in the experience despite the challenging weather conditions.

While snow and ice are common throughout the country, especially in the northern regions, the amount of snow and ice can vary depending on the specific location and weather conditions at that time. Coastal areas, like the South Coast, may experience less snowfall compared to inland regions, but it’s still likely to be cold with icy conditions depending on the year.

In short, no.

The Icelandic winter is renowned for its capricious nature and snow storms that can easily make impassable some regions for days. The itinerary is always subject to change due to weather conditions or if the guide & deems it necessary due to unforeseen circumstances or for the interest of the group. If we are unable to access the Highlands or some other region for this reason, we have secondary itineraries planned for the following days.

As you embark on your thrilling winter expedition through Iceland, comfort and warmth are of utmost importance. Rest assured, the hotels selected for your journey have been carefully chosen to provide you with a haven of comfort amidst the snowy landscapes.

Whether nestled amidst the untamed wilderness or offering stunning views of Iceland’s natural wonders, each hotel on your itinerary (including the accommodation in Kerlingarfjöll) guarantees a delightful stay. Immerse yourself in the tranquility of the surroundings, savor delicious meals prepared with local flavors, and bask in the warmth of attentive hospitality.

The provided meals are designed to cover full-board each day. Breakfast includes tea, coffee, or herbal tea, with no other beverages included.

Lunches and dinners are provided and will be served at various locations, such as restaurants, visitor centers, or as packed lunches for days with full activities.

In case of allergies or intolerances, it is necessary to previously notify AMAROK ADVENTURES at the time of booking the trip, or failing that before reaching the destination. Travelers who need vegetarian, gluten-free or vegan menus during the whole trip need to notify the agency. AMAROK ADVENTURES will try to adapt the diet of the trip according to the needs of the traveler, and in case of impossibility undertake to communicate it.

The transfers from Keflavík International Airport to Reykjavík and along the South Coast of Iceland are made by one or two 4WD vehicles with a professional driver from Amarok Adventures. The transfers to & back from Kerlingarfjöll are done in modified 4WD vehicles with a professional driver from Highland Base.

While the Northern Lights are a natural phenomenon, they can be observed in Iceland during the winter months. However, their visibility is dependent on several factors, including clear skies, solar activity, and luck.

So, in short, we cannot guarantee that you will see the Northern Lights during your trip, but our guides always keep an eye on the forecast for each night and are ready for helping you to see them on the winter nights.

Ice caves represent a constantly evolving wonder of nature. Every year, as old ice caves melt away, new ones form in their place. The images you view of the cave on our website or social media may not reflect what you’ll encounter on your tour. This variability ensures that each guest’s experience is distinctive and memorable.

Iceland experiences shorter daylight hours during the winter season. In December, daylight can last for only a few hours, especially in the northern regions.

However, this trip happens between February and late March, when the days gradually become longer, giving us enough daylight to enjoy the winter activities.
