These are the payment terms and booking conditions that apply to tours in any location organized by Amarok Adventures ehf , a licensed travel agency by the Icelandic Tourist Board with the Icelandic ID number (kennitala) 600122-2580.
The quoted rates are determined by the current purchasing prices in Iceland and are displayed in Icelandic Króna (ISK) on our website. The prices will be guaranteed only after the full payment has been made. The pricing displayed on the website or by authorized resellers in local currency may vary due to changes in exchange rates.
Amarok Adventures ehf, as a local Icelandic tour operator, cannot be held responsible for currency fluctuations or any additional fees beyond its control, such as credit card fees, bank or wire transfer fees, etc.
Booking
Amarok Adventures ehf will provide the traveler with instructions on how to proceed with the trip booking process. To confirm a booking, the following requirements must be met for multi-day tours:
- The traveler must fill out the online form with their personal information.
- The traveler must sign the travel agreement, which will be provided by Amarok Adventures ehf .*
- The traveler must make a payment of 30% of the total trip cost through our website booking system or through a partner’s booking system. The remaining 70% balance of the total cost must be paid no later than 2 months prior to the trip start date (5 months for the trips categorised as “Expedition”).**
*If the client declines to sign the travel agreement, we interpret this as the traveler not accepting the general and specific terms and conditions of the trip. As a result, Amarok Adventures ehf will be entitled to cancel the reservation at the client’s own risk and expense.
** Bookings made within 2 months (5 months for the trips categorised as “Expedition”) prior to the start date of the trip will require a 100% payment at the time of the booking.

- The traveler must make a payment of, 100% of the total day tour cost through our website booking system or through a partner’s booking system.
COLLECTION OF PERSONAL INFORMATION
As a condition of booking with Amarok Adventures ehf or with our approved partners, the client must provide the information requested by the company along with the initial payment. In the event that the client fails to supply the personal information required, Amarok Adventures ehf reserves the right to treat the booking as incompleted or canceled and levy any cancellation fees deemed reasonable by Amarok Adventures ehf, in its sole discretion. Amarok Adventures ehf collects, uses, and discloses only the information that is reasonably required to enable Amarok Adventures ehf and its Third Party Suppliers to provide the particular day tour or multi-day tour, products, and/or services that the client has requested, as described in Amarok Adventures ehf’s Privacy Policy. By providing any personal information to Amarok Adventures ehf, the client indicates their acceptance of Amarok Adventures ehf’s Privacy Policy.
PROMOTIONAL CODES, DISCOUNTS & GIFT CARDS
It is important to note that special offers, including promotional codes or gift cards, cannot be used for refunds after the booking has been made. These offers must be entered into the designated field on the payment page during the booking process to be valid and applied. Promotions offered by retailers or other websites are non valid for bookings done through Amarok Adventures ehf website.
BOOKING FEES
Please note that our online booking system applies a booking fee of 1.5% to all travel reservations made through our platform. We strive to provide a cost-effective and efficient booking solution that enables you to easily access a wide range of travel services at competitive rates. Please be aware that this service fee is non-negotiable and will be applied to all bookings made through our platform, regardless of the type or value of the reservation.
Our secure and reliable booking system is designed to ensure a hassle-free booking experience, and our customer support team is always available to assist you with any questions or concerns you may have. We appreciate your business and look forward to helping you plan your next travel adventure with confidence and ease.
Cancellation for multi-day tours
Cancellation requests must be submitted in writing via letter or email. In accordance with standard practices in the Icelandic travel industry, the travel agent is obligated to apply cancellation fees to passengers as outlined below.
CANCELLATION & CHANGE FEES
Amarok Adventures ehf reserves the right to keep the below fee to cover costs in all our scheduled multi-day tours. For “Expedition” categorised trips, see in the next headline.
If clients formally cancel their participation:
• If canceled within 48 hours of booking: 100% of the total tour price is refundable (including the deposit).
• If cancelled before confirmation of the group: 100% of the total tour price is refundable (including the deposit).
• If cancelled 59 days or more prior to the departure date: 50% of the total tour price is refundable.
• If cancelled 30-58 days prior to the departure date: 25% of the total tour price is refundable.
• If cancelled 0-29 days prior to the departure date: 0% of the total tour price is refundable.
Upon confirmation of the group and notification to the client, the 30% deposit becomes non-refundable.
Multi-day tours can be postponed free of charge up to 6 weeks before departure in our trips in Iceland, Faroe Islands & Nepal if there’s availability on a different date. If the client requests to change their reservation after the group has been confirmed, the deposit will not be fully refundable if the client cancels the new date afterwards.
In case the client needs to reschedule their multi-day tour, the following payment policies will apply:
- If the client wishes to transfer to another trip or reschedule for the same trip on a different date within the same year, the remaining 70% of the payment must be collected at the time of the client’s request for the change.
- If the client wishes to transfer to another trip or reschedule for the same trip on a different date in the following year, the remaining 70% of the payment must be collected 4 months prior to the start of the trip & the client will need to cover the cost variance based on the updated price for the upcoming year.
Amarok Adventures ehf expressly prohibits the occurrence of dual consecutive postponements, and clients are not permitted to request a second consecutive rescheduling of their travel arrangements.
EXPEDITIONS CANCELLATION & CHANGE FEES
Amarok Adventures ehf reserves the right to keep the below fee to cover costs in all our scheduled multi-day tours categorised as “Expedition” (East Greenland, Baffin Island & Patagonia trips).
If clients formally cancel their participation:
• If canceled within 48 hours of booking: 100% of the total tour price is refundable (including the deposit).
• If cancelled before confirmation of the group: 100% of the total tour price is refundable (including the deposit).
• If cancelled 150 days or more prior to the departure date: 50% of the total tour price is refundable.
• If cancelled 120-149 days prior to the departure date: 25% of the total tour price is refundable.
• If cancelled 0-119 days prior to the departure date: 0% of the total tour price is refundable.
For “Expedition” categorised multi-day tours, the client’s spot can be postponed free of charge up to 150 days before departure.
- If the client wishes to transfer to another “Expedition” categorised trip or reschedule for the same trip on a different date within the same year, the remaining 70% of the payment must be collected at the time of the client’s request for the change.
- If the client wishes to transfer to another trip or reschedule for the same trip on a different date in the following year, the remaining 70% of the payment must be collected 7 months prior to the start of the trip & the client will need to cover the cost variance based on the updated price for the upcoming year.
Amarok Adventures ehf is not responsible for refunding flights, insurance policies, additional accommodations, or other supplementary services in the event of the cancellation of a multi-day tour or day tour. The client is solely responsible for these arrangements. If the client needs to purchase flights for a multi-day tour, they must first consult with Amarok Adventures ehf to proceed with the purchase.
Amarok Adventures ehf reserves the right to deny the permission to travel or participate of a client in any aspect of a day tour or multi-day tour at any time (prior to the start date of the same tour, or during the tour itself) and at the client own risk and expense where Amarok Adventures ehf determines that the client’s physical condition, mental condition or misbehavior makes the client unsuitable for travel or poses a threat to themselves or others; as well as Amarok Adventures ehf reserves the right to decline participation of clients whom we suspect to be under the influence of alcohol or drugs.
Cancellation for day tours
CANCELLATION & CHANGE FEES FOR DAY TOURS IN ICELAND
Amarok Adventures ehf reserves the right to keep the below fee to cover costs in all our scheduled group or private day tours.
If clients formally cancel their participation:
• If canceled within 48 hours of booking: 100% of the total tour price is refundable (including the deposit).
• If cancelled before confirmation of the group: 100% of the total tour price is refundable (including the deposit).
• If cancelled 72 hours or more prior to the departure date: 100% of the total tour price is refundable.
• If cancelled 25 to 72 hours to the departure date: 50% of the total tour price is refundable.
• If cancelled 24 hours or less prior to the departure date: 0% of the total tour price is refundable.
Day tours can be changed free of charge up to 3 days before departure date if there is availability on a different date.
If Amarok Adventures ehf cancels a day tour or a multi-day tour due to weather conditions or other unforeseen circumstances that make the whole tour unsafe, the client will be refunded in full.
Travelling in groups
The confirmation of our trips is conditioned to the registration of a minimum number of participants. Amarok Adventures ehf will confirm your trip in writing once the minimum number of participants required for the tour has been registered. If the minimum number of participants required to confirm the trip is not reached, Amarok Adventures ehf reserves the right to cancel the departure at least 2 months before the trip’s scheduled start date.
Travelers are required to remain with the group from the start of the trip until the end, and must accept any changes to the itinerary made by the guide due to weather conditions, natural disasters, other incidents that may arise, or in case the guide considers it necessary for the interest of the group. These decisions are always made in the best interest of the entire group and for the safety of both participants, the guide & other Amarok Adventures ehf staff. If an individual chooses to leave the group, they do so at their own risk & expense, and neither Amarok Adventures ehf nor the guide will be responsible for any actions or decisions made by that person from that point onward.
These conditions also apply to any private tours or day tours.
Tailor made groups
BOOKING
Amarok Adventures ehf will provide the traveler with instructions on how to proceed with the trip booking process. To confirm a booking, the following requirements must be met:
- The traveler must fill out the online form with their personal information.
- The traveler must sign the travel agreement, which will be provided by Amarok Adventures ehf .*
- For all private and tailor-made tours, a 50% deposit is required at the time of booking, and full payment must be received no later than 22 weeks (5 months) prior to departure.
*If the client declines to sign the travel agreement, we interpret this as the traveler not accepting the general and specific terms and conditions of the trip. As a result, Amarok Adventures ehf will be entitled to cancel the reservation at the client’s own risk and expense.
For private and tailor-made tours, the booking period is 2 weeks from the time the trip price has been approved by the client. If the deposit payment for the spots has not been received within that time period, the group will be automatically canceled and the price will be recalculated.
Tailor-made tours for individual travellers or groups (not arranged by a 3rd party travel agency) have to be confirmed by the client at least 6 months prior to the start date of the trip.
Tailor-made tours for tour agencies & travel professionals have to be confirmed by the client at least 5 months prior to the start date of the trip.
CANCELLATION & CHANGE FEES
Amarok Adventures ehf reserves the right to keep the below fee to cover costs in our private & tailor-made tours.
If clients formally cancel their participation:
- 40% of the tour price is refundable if canceled 59 days or more before departure, once the trip has been confirmed.
- 15% of the tour price is refundable if canceled 30-59 days before departure.
- 0% of the tour price is refundable if canceled 0-29 days before departure.
If changes are requested for private and tailor-made tours, such as adding nights or changing hotels or dates, a change fee may be charged. Please note that there is no fee for booking additional nights in the first city before or after a tour or package. If you provide us with enough notice, we will do our best to reschedule your booking for a future date free of charge.
A change fee may be charged if a confirmed service is changed less than two weeks prior to the client’s arrival.
A last-minute booking fee may apply to all bookings for private and tailor-made tours requested within two weeks of the client’s arrival. However, this fee does not guarantee confirmation and you will only be charged for confirmed bookings.
In case the client needs to reschedule their private or tailor-made tour, the following payment policies will apply:
- If the client wishes to transfer to another trip or reschedule for the same trip on a different date within the same year or a different date in the following years, the remaining 50% of the payment must be collected at the time of the client’s request for the change.
Accommodations & service providers
At Amarok Adventures ehf, we pride ourselves on providing the highest level of service to our customers while on any kind of tour. In order to ensure that we meet our own high standards, we partner exclusively with hotels and secondary service providers (such for activities or restaurants) that have undergone extensive testing and approval processes. Rest assured that any extra service on a day tour or multi-day tour we provide to you will only include providers that meet our rigorous standards. In the case of mountain huts, local tea houses or aboard our expedition sailboats, while we acknowledge that this kind of accommodation may be basic, we strive to provide the best possible service and amenities to ensure a comfortable and enjoyable stay for our guests.
In some cases, due to unforeseen circumstances, such as a lack of availability of a particular accommodation or service provider, we may need to use a different partner to ensure the smooth and safe running of your itinerary. If this happens, we will do our best to select a similar partner with the same characteristics, quality, and location as the previously selected one. We understand the importance of providing a consistent and high-quality experience for our guests, and we strive to maintain that standard even when faced with unexpected challenges.
We take our responsibility to our customers seriously, which is why we reserve the right to refuse any itinerary request that includes unapproved providers or accommodations. This is to ensure that we can operate seamlessly and safely, without any interruptions or adverse effects on the quality of our tours. Our commitment to our customers’ safety and satisfaction is at the forefront of everything we do, and we will do everything in our power to ensure that your experience with us is nothing short of exceptional.
Cancellation or changes of a day tour or multi-day tour by Amarok Adventures
The itinerary could be changed in case of adversarial weather conditions, in case of danger for the group or in case the guide considers it necessary due to unforeseen circumstances or for the interest of the group. If Amarok Adventures ehf cancels a day tour or a multi-day tour due to weather conditions or other unforeseen circumstances that make the whole tour unsafe, the client will be refunded in full.
To ensure that we can promptly communicate and potentially reschedule your tour, or in the worst case scenario cancel, please provide Amarok Adventures ehf with your up-to-date phone and/or email contact information.
Our first priority in any cancellation scenario is to try to reschedule your tour or provide a suitable alternative option. In the event that Amarok Adventures ehf is unable to do so, or in the event that the client cannot reschedule the tour that has been canceled, the client will receive a full refund.
Airfares
None of our day tour or multi-day tour prices include international or domestic airfares unless expressly mentioned in the tour’s descriptions.
Insurance
Safety is our #1 priority, and we take every precaution to ensure that our clients have a safe and enjoyable experience during their tour. However, despite the expertise and experience of our guides, there is always a slight risk of accidents that may require medical assistance. As such, we strongly recommend that all of our clients have insurance that covers helicopter rescue & rescue services along with minimum medical, evacuation and repatriation coverage of USD$200,000 covering all applicable dates of travel with the Tour Operator.
We strongly recommend that all travelers obtain comprehensive travel insurance that includes coverage for Force Majeure and all other unforeseen events for international travel, as well as Cancel For Any Reason (CFAR) coverage.
We recommend booking an insurance with World Nomads, Global Rescue & AXA Travel Insurance.
Validity of prices
All rates quoted or shown in our tariffs are based on current purchasing prices in Iceland. In the event of currency fluctuation, government taxes, or due to any other cost increases that are outside our control, Amarok Adventures ehf reserves the right to change prices already quoted or published in our price lists.
Any eventual changes in rates will not be made with less than 8 weeks’ notice prior to arrival.
After the invoice has been issued, the price is guaranteed against any surcharge, unless an increase is due to government laws or currency changes. Amarok Adventures ehf will absorb an amount equivalent to 5% of the package price. Amounts that exceed the 5% will be charged and clients will be entitled to cancel their booking with a full refund if the surcharge exceeds 10%.
Liability
Amarok Adventures ehf cannot be held responsible for any losses or expenses resulting from flight delays or changes, injury, damages, negligence, weather conditions, war, or other unforeseeable causes beyond our control (force majeure). The estimated duration of tours provided on our website is a standard time and may vary due to road or weather conditions. While we strive to maintain punctuality, unforeseen delays may occur. Amarok Adventures ehf cannot be held responsible for any losses, whether direct or indirect, that passengers may incur due to such delays.
Media & marketing
Amarok Adventures ehf reserves the right to take photographs or videos during the operation of any day tour or multi-day tour; and to use the resulting photography for promotional purposes on its website, social media and other marketing formats. However, if the client specifically asks not to appear on any photos or videos published by Amarok Adventures ehf or any other third party, then that request will be fulfilled. Any photos or videos taken by one of our clients will not be used for marketing purposes without the client’s prior knowledge and permission.
By participating in any of our day tours or multi-day tours, the client acknowledges and consents that photographs, images or videos may be taken of you by other participants, Amarok Adventures ehf, or its representatives. The client agrees to grant the Amarok Adventures ehf, its contractors, sub-contractors, and assigns a perpetual, worldwide, royalty-free, and irrevocable license to use, reproduce, and distribute photographs or videos taken by the company or its guides for any purpose, including but not limited to marketing and promotional activities. This license covers any medium currently known or developed in the future, without any obligation or compensation payable to the client.
Approved partners
Amarok Adventures ehf works with approved retailers all over the world. Bookings can be made directly through Amarok Adventures ehf, any other website (like Viator or TripAdvisor) and/or approved partner websites through which Amarok Adventures ehf makes their services available. Amarok Adventures ehf updates often to these approved partners & websites with new dates, prices & availability, however Amarok Adventures ehf is not responsible for invalid dates, outdated prices or outdated availability published on other websites, and as a result, Amarok Adventures ehf retains the right to cancel a reservation made through a third party if the information displayed on their website is no longer accurate.
Other
In order for compensation to be considered valid, any complaints must be received by Amarok Adventures ehf within 5 days from the date of departure from the destination.
In the event of adverse weather conditions, danger to the group, unforeseen circumstances, or for the benefit of the group, Amarok Adventures ehf reserves the right to modify tours and itineraries.
All programs can be changed or canceled at any moment during the trip to assure the safety of the clients and staff of Amarok Adventures ehf . Clients take full responsibility for meeting the physical fitness level requirement of the trip, and having all the required equipment that is described in the information provided to them. Clients that are physically unfit or not equipped for their tour can be dismissed from the tour at their own expense & risk. No responsibility is accepted for losses or expenses due to delays, changes of flights or other services, as well as because of strikes, accidents, sickness, damage, negligence, weather, war, changes in schedules, or other similar causes. Amarok Adventures ehf does not assume responsibility for accidents or death that can be traced to the participant´s negligence, acts of third parties or exterior circumstances, such as weather, natural occurrences, war or other similar causes.
These terms and conditions adhere to Icelandic law and are subject to periodic review and updates. In order for any communication regarding these terms and conditions, including requests to cancel or modify the client day tour or multi-day tour arrangements, to be considered valid, they must be sent by the lead traveler of each reservation to info@amarok.is via email. Once received, Amarok Adventures ehf must confirm any amendments and/or cancellations before any further action can be taken.
